Work Orders - Order Records

 

Work Orders are broken out into different objects: Order Records, Pick Tickets, Consolidations, and Production Runs. This page focuses on Order Records.

New Work Order structures include:

  1. Order Records: represents the work order at the highest level, containing all kit item lines, and linking all pick tickets and production runs generated and processed against it. Order Records will match up to the work order object in any host system.
    1. Work Order Records are simpler than Sales or Transfer Order types and don't contain any customer or shipping information
  2. Pick Tickets: represent the picking tasks created against an Order Record that will be batch or single picked. There can be multiple Pick Tickets assigned to a single order.
  3. Consolidations - Tracks the consumption of components used for assembly against the picked quantities. These are negligible for the completion of a Work Order with no user interaction
  4. Production Runs: represent the assembly step converting the component items into the Kit item. Components are tallied and combined, removed from the cart if picked onto one, and converted into the Kit item to be put on a shelf.

Overview

An Order Record for Work Orders is the highest level of the work order and refers to all general details:

  • Order lines - Kit items and quantities 
  • Notes, Tags, and Custom Fields

Order Records are not actionable objects by themselves, they are processed by picks being performed against the associated Pick Ticket(s) and assembly being performed against Production Runs. Pick Tickets, Consolidations, and Production Runs cannot exist without an Order Record.

Work Orders Grid

Work Orders can be viewed in WOS Manager by navigating to Order -> or Work Orders -> Orders tab. This grid view is pre-filtered to show only orders with an Available or In Progress status. 

Order Statuses

Order Records have different statuses that will update as they are processed.

  • Available - an order is ready for order lines to be processed
  • In Progress - when one or more associated Pick Tickets have been marked In Progress or Complete
  • Complete - when all associated Pick Tickets, Consolidations, and Production Runs have been completed
  • On Hold - unavailable to start processing, when all Pick Tickets and Production Runs are set to Hold

Bulk Actions

At the bottom of the Work Orders grid there are bulk actions that can be performed against selected orders.

  • Allocate Pick Tickets - this action triggers the assigned Allocation Process to run on all Pick Tickets on the order. If a Pick Ticket is unallocated, it will allocate inventory; if a Pick Ticket is already allocated, it will re-allocate and run the process again seeing updated inventory locations
  • Deallocate Pick Tickets - this action removes any allocation on associated Pick Tickets, even if batched
  • Pick Complete Order & Pick Tickets - all associated Pick Tickets will be marked as complete, any lines that are not picked will be short picked and removed from the Pick Ticket. 
    • Note that if a Pick Ticket has no picks against it and all lines are short picked, the ticket is deleted and the lines will show as short picked.
  • Hold Pick Tickets - all Pick Tickets that are not already picked are set to Hold. 
  • Release Pick Tickets - any Pick Tickets on Hold will be released to an Available status
  • Assign Pick Tickets to Device - Pick Tickets will be assigned to the selected device and prevent any other devices from picking them
  • Remove Pick Tickets from Device - removes any device assignments on the selected Pick Tickets
  • Assign Order Process - assigns the selected Order Process to the selected orders, any previously selected Order Process will be updated.
    The Pick Process designated on the Order Process will be reassigned to any available and un-batched Pick Tickets, overriding any previous Pick Process. The Pack Process designated on the Order Process will be reassigned to all available PTCs
  • Clear Order Process - removes any previously assigned Order Process. Pick Tickets are not affected by this
  • Change Sequence - updates the priority Sequence field on the order to whatever value is specified during the action
  • Set Notes - adds or updates the Order Notes field on the order record
  • Update Custom Field (1-4) - adds or updates the Custom Field on the order record
  • Clear Custom Field (1-4) - removes any value in the Custom Field on the order record
  • Delete Orders - orders can be deleted along with any associated Pick Tickets or Fulfillments. This action will only delete orders where Pick Tickets and Fulfillments have not been marked In Progress or Completed, otherwise those will need to be reset before the order can be deleted

Order Edit Page

The Order Edit Page has been improved with functionality like hot keys, shortcuts, upgraded tab layouts, and more. There is a page dedicated to this specifically, please view Order Edit Page - New for detailed changes. 

On the Order Edit Page the Order Record encompasses the baseline structure of the order, including data on the Order Details tab and ordered items on the Lines tab. The Order Edit page also includes a Print Documents and Order History tab that is general for the order and will include all records attached to the order.

Order Details

The Order Details tab on the Order Edit page for Work Orders shows general fields and data. All fields can be manually updated or edited in this view. 

The first section is general order information, including the Order Process, Facility, Notes, Tags, Custom Fields, etc.

Most fields in this section can be edited without effecting other order objects. However, if the Order Process or Note field is updated on the Order Record, it can waterfall down to all Pick Tickets and Consolidations (PTCs) as well. The Order Process update is optional for whether it will effect objects downstream or not, a popup allows the decision to be made with the change. The Note waterfall occurs with Pick Tickets and PTCs even when they are created after the note update.

This is important because it allows order notes to be shown to Pickers if needed and the User Group Setting - Force Show Notes is on for either of those app functions.

Lines

The Order Lines tab shows the work order lines (kit items) that are created initially with the order from either an external system, or an import. 

  • Order Line Details:
    • Line # - line number to match external system, or original import line number
    • Item Type - type of item (only kit type items can be assigned to Work Orders)
    • Item Number - Kit sku or item number in WOS
    • Item Description - description of the item in WOS (this is what is stored in WOS on the item object, if the order shows a different description on another system it may not match the order in WOS)
    • Amount - for custom lines
    • Quantity - quantity ordered
    • Home Location - if the item has a Home Location assigned
    • Line Notes - any note on the individual order line

Edit Order Line

Information and details for individual order lines can be viewed and edited by clicking on the Line Number in the grid. An Edit Order Line modal will pop up with a few fields that can be edited per line.

Order History

The Order Edit - Order History tab contains a pre-filtered History Log to show all the history related to the work order, including creation through picking and assembly. Any actions performed and tracked against the order and it's related Pick Tickets, Consolidations, and Production Runs will display.
