Orders - Order Records

 

Orders are now broken out into different objects: Order Records, Pick Tickets, Consolidations, and Fulfillments. This page focuses on Order Records.

New order structures include:

  1. Order Records: represents the order at the highest level, containing the customer and shipping details, all order lines, and linking all pick tickets and fulfillments generated and processed against it. Order Records will match up the order object in sales channels and host systems.
  2. Pick Tickets: represent the picking tasks created against an Order Record that will be batch or single picked. There can be multiple Pick Tickets assigned to a single order.
  3. Consolidations: represent the packing task or object against an Order Record. They will be associated with at least one Pick Ticket, a Pick Ticket Consolidation (PTC) can be made up of multiple Pick Tickets combined at the packing step.
  4. Fulfillments: represent shipments created for an Order Record. Fulfillments will be associated with a Consolidation. They can be made up of multiple packages (multi-parcel shipments) or a single package. Fulfillments are only created for fulfillable order types (Sales and Transfer orders).

Overview

An Order Record is the highest level of an order and refers to all details on an order:

  • Order lines - items and quantities on the order
  • Customer information 
  • To and From Addresses
  • Shipping information - carrier, method
  • Notes, Tags, and Custom Fields

Order Records are not actionable objects by themselves, they are processed by picks being performed against the associated Pick Ticket(s) and packs being performed against the associated Consolidation and Fulfillment(s). Pick Tickets, Consolidations, and Fulfillments cannot exist without an Order Record.

Orders Grid

Orders can be viewed in WOS Manager by navigating to Order -> (Sales Orders) or (Work Orders) -> under the Orders tab. This grid view is pre-filtered to show only order with an Available or In Progress status. 

Order Statuses

Order Records have different statuses that will update as they are processed.

  • Available - an order is ready for order lines to be processed
  • In Progress - when one or more associated Pick Tickets have been marked In Progress or Complete
  • Complete - when all associated Pick Tickets, Consolidations, and Fulfillments have been completed
  • On Hold - unavailable to start processing, when all Pick Tickets and Fulfillments are set to Hold

Bulk Actions

At the bottom of the Orders grid there are bulk actions that can be performed against selected orders.

  • Allocate Pick Tickets - this action triggers the assigned Allocation Process to run on all Pick Tickets on the order. If a Pick Ticket is unallocated, it will allocate inventory; if a Pick Ticket is already allocated, it will re-allocate and run the process again seeing updated inventory locations
  • Deallocate Pick Tickets - this action removes any allocation on associated Pick Tickets, even if batched
  • Pick Complete Order & Pick Tickets - all associated Pick Tickets will be marked as complete, any lines that are not picked will be short picked and removed from the Pick Ticket. 
    • Note that if a Pick Ticket has no picks against it and all lines are short picked, the ticket is deleted and the lines will show as short picked.
  • Hold Pick Tickets - all Pick Tickets that are not already picked are set to Hold. 
  • Release Pick Tickets - any Pick Tickets on Hold will be released to an Available status
  • Hold Order Fulfillments
  • Release Order Fulfillments - any Fulfillments on Hold will be released to an Available status
  • Assign Pick Tickets to Device - Pick Tickets will be assigned to the selected device and prevent any other devices from picking them
  • Remove Pick Tickets from Device - removes any device assignments on the selected Pick Tickets
  • Assign Order Fulfillments to Device - Fulfillments will be assigned to the selected device and prevent any other devices from packing them
  • Remove Order Fulfillments from Device - removes any device assignments on the selected Fulfillments
  • Assign Order Process - assigns the selected Order Process to the selected orders, any previously selected Order Process will be updated.
    The Pick Process designated on the Order Process will be reassigned to any available and un-batched Pick Tickets, overriding any previous Pick Process. The Pack Process designated on the Order Process will be reassigned to all available PTCs
  • Clear Order Process - removes any previously assigned Order Process. Pick Tickets are not affected by this
  • Change Sequence - updates the priority Sequence field on the order to whatever value is specified during the action
  • Set Notes - adds or updates the Order Notes field on the order record
  • Update Custom Field (1-4) - adds or updates the Custom Field on the order record
  • Clear Custom Field (1-4) - removes any value in the Custom Field on the order record
  • Delete Orders - orders can be deleted along with any associated Pick Tickets or Fulfillments. This action will only delete orders where Pick Tickets and Fulfillments have not been marked In Progress or Completed, otherwise those will need to be reset before the order can be deleted

Order Edit Page

The Order Edit Page has been improved with functionality like hot keys, shortcuts, upgraded tab layouts, and more. There is a page dedicated to this specifically, please view Order Edit Page - New for detailed changes. 

On the Order Edit Page the Order Record encompasses the baseline structure of the order, including data on the Order Details tab and ordered items on the Lines tab. The Order Edit page also includes a Print Documents and Order History tab that is general for the order and will include all records attached to the order.

Order Details

The Order Details tab on the Order Edit page shows fields and data for the order. All fields can be manually updated or edited in this view. Order fields are grouped into five sections.

The first section is general order information, including the Order Process, Notes, Tags, Custom Fields, etc.

Order Notes

Most fields in this section can be edited without effecting other order objects. However, if the Note field is updated on the Order Record, it will waterfall down to all Pick Tickets and Consolidation (PTC) notes as well. This waterfall occurs with Pick Tickets and PTCs even when they are created after the note update.

This is important because it allows order notes to be shown to Pickers and Packers if needed and the User Group Setting - Force Show Notes is on for either of those app functions.

Order Process

Be advised that when the Order Process is updated on an order, by default all available Pick Tickets and PTCs will be updated to the Pick and Pack Processes assigned to the new Order Process. This is optional and can be disabled by turning off the flag(s) to apply the process reassignments downstream for each object.

If multiple Shipping Carriers and Tracking Numbers, or any other fields, are applied to the order for different Pick Tickets and shipments, those are stored on the Order Fulfillment.

The following three sections are broken down by addresses: To Address, From Address, and Billing Address.

Lines

The Order Lines tab shows all original order lines that are created initially with the order from either an external system, or an import. This view also shows details on the status of order lines as they move through the system.

  • Order Line Details:
    • Line # - line number to match external system, or original import line number
    • Item Type - type of item (Item, Bundle, Kit, Kit (configurable)
    • Item Number - sku or item number in WOS
    • Item Description - description of the item number (this is what is stored in WOS on the item object, if the order shows a different description on another system it may not match the order in WOS)
    • Amount - for custom lines
    • Bundle Sku - the Bundle sku/item is stored here if a bundle component
    • Quantity - quantity ordered
    • Line Notes - any note on the individual order line
  • Order Line WOS Data:
    • Home Location - displays home location if the item has one assigned
    • Pick Locations - displays the pick locations this item is allocated against on a Pick Ticket
    • Pick Zones - displays zones the allocated pick locations are assigned to
    • Devices - any Devices assigned or working on the order line
    • Lot Numbers - the lot number assigned during Picking
    • Pick Tickets - any Pick Tickets that this order line is assigned to
  • Order Line Statuses:
    • Picked Status - status will show as Picked, NotPicked, PartiallyPicked, PickedWithShortPicks, or Skipped 
    • Picked Qty - quantity that has been picked, it will be highlighted to indicate where it is in the pick process:
      • Grey - picking not started
      • Green - fully picked
      • Red - short picked
      • Yellow - partially picked
    • Shorted Qty - short quantity if short picked on a pick ticket
    • Picked By - the User(s) to pick against this line
    • Pack Status - status will show as Packed, NotPacked, PartiallyPacked, PackedWithShortPacks, or Skipped
    • Packed Qty - quantity that has been packed, it will also be highlighted to show quantities in the pack process, refer to the "Picked Qty" field above
    • Packed By - the User(s) who packed the items
    • Picking/Packing Started - Date/Time stamp of when each process was first initiated on the iPad
    • Picking/Packing Complete - Date/Time stamp of when each process was fully completed (all items are fully picked/packed or short picked) on the iPad 

Edit Order Line

Information and details for individual order lines can be viewed and edited by clicking on the Line Number in the grid. An Edit Order Line modal will pop up with three tabs: Info, Pick Tickets, and Picks.

LineNumberEdit

  • Info: this tab shows line details such as the Item Number, Item Type, Quantity, and Value fields. All fields can be edited and saved, with the exception of the Item Number and Item Type.

  • Pick Tickets: this tab shows any Pick Tickets that have this order line assigned to be picked. This view will show the Total Quantity of the order line assigned to each ticket.

  • Picks: this tab shows all pick records against this order line. If the line was split picked, partial picked, short picked, or just picked on multiple tickets, all records will be displayed

Print Documents

The Print Documents tab on the Order Edit page will display all documents and print messages related to the order. Documents must be assigned to a specific Fulfillment to ensure they are printed at the Packing step for the correct PTC and Fulfillment.

Bulk actions will be included in the Print Documents grid to allow for re-printing and other actions.

Order History

The Order Edit - Order History tab contains a pre-filtered History Log to show all the history related to the order, including creation through picking and packing. Any actions performed and tracked against the order and it's related Pick Tickets, Consolidations, and Fulfillments will display.

Order Archive

Orders can now be stored in an archived state. This allows orders to be purged from WOS at regular intervals to preserve data integrity and load speeds, but also keeps a stripped down record of the data.

Keeping an order archive will also prevent unwanted duplicate orders from ever occurring after an order has been picked, packed, and completed in WOS, and then purged after an agreed upon timeline. Order downloads to WOS will check against the order archives and prevent duplicate orders the same way as if the order object was fully in WOS.

Orders can be manually archived by using the Bulk Action on the Orders grid. This action deletes the order from WOS but maintains that stripped down archive record to prevent duplication.

Archiving an order should only be done if that order is intended to never come down to WOS again. If order is getting deleted so it can be updated or reimported it's important to just use the Delete action. Archiving an order will prevent any subsequent download attempts.

An order archive can be deleted if a redownload is needed or just to completely remove the record. To do so, go to Order -> Order Archives. On the grid at the bottom is a bulk action to Delete Order Archives for selected orders.
